Contract Type: Freelance remote worker (preferably Europe based), expected attendance at all events for c.1 week at each. Flexible working hours/days, equivalent to 40 hours/week expected on average.
Overview: We are seeking a self-motivated, able to work remotely, enthusiastic person with excellent customer service skills and passionate about detail to join our small, dedicated team.
You will be responsible for contracting and managing the delivery of ground travel and hotel services for 3 - 4 European events in 2025, (c.600 swimmers plus families and staff) in addition to providing advice, and upselling, to clients on travel arrangements, extended services and extras to our all inclusive event packages.
In addition you will lead the relationship with our event hotels (currently 10 in number) and transfer providers, ensuring timely and accurate information is shared with them during the booking process as well as managing updates and changes during the events.
Detailed Job Description:
• Developing effective working relationships with clients by providing timely and immaculate customer service in person, by phone and email/whatsapp
• Identifying, analysing and resolving client enquiries to ensure their needs are met and that they are satisfied with the service provided
• Planning, booking and managing travel and hotel services with a very high level of attention to detail.
• Managing partnerships with local providers to ensure a high level of service delivery and clear communication
• Gathering client feedback, needs and preferences to support development of strategies for increasing sales’ opportunities
• Managing staff flights, ground travel and hotels
• Seeking cost reductions and revenue increases wherever possible.
Travel: Attendance at all events, expected to grow to 8 per year by 2026 (minimum one week per event, occasional travel outside these times).
Qualifications / Skills:
- Prior experience in customer service or client management; travel industry / event experience an advantage
- Inspired by sport, if not actually sport participant. Knowledge or experience of open water swimming a big bonus, but not mandatory.
- At ease in a database system/computer environment - ideally some proficiency with CRM project management software, such as Monday.com <http://monday.com/>
- You are more likely to be a Mac rather than PC user!
- Basic knowledge and experience with marketing principles and techniques
- Exceptional customer service and communication skills - you will really care about our swimmers and their experience from the day they get in contact with us, until they have finished an event (and beyond)
- Strong analytical skills and attention to detail
- Effective problem-solving
- Excellent organisational, time management and multi-tasking skills
- Rigour, precision, obsession with accuracy and detail
- First language English, additional language(s) a plus
- Valid driving licence

About the team behind the event: Founder Mark Turner has spent 30 years in sport business, initially in sailing as the business partner of Dame Ellen MacArthur, before developing his OC Sport business in a multi-sport company focused on the outdoor and endurance markets. Co- founder of the Haute Route cycling series, and an accomplished swimmer in his own right, Turner decided to put his experience in to one of the sport he is passionate about - open water swimming. The company is managed day to day by a long time colleague, Susie Walker as MD who comes with experience in sponsorship and project management across all of OC Sport’s previous events, as well as the Volvo Ocean Race that Turner led in 2016-7. Operations Director Hayley Wright has lived in Montenegro, the venue of the first 33.3, for 16 years and brings a wealth of experience in adventure sport races, sport and adventure tourism, with specific knowledge of the Balkan region, site of 2 of the existing UltraSwim 33.3 events. Co-founder Nathaniel Waring brings extensive open water swimming experience, built a premium travel business in the past, and is connected strongly to the US markets as an American masters swimmer, and to the vibrant Brazilian swimming community where he lives. The rest of the team are part-time freelancers, experienced and motivated volunteers, and local suppliers. The organisation team approaches 100 people during the events on site, but in between events reduces to a core team of half a dozen actively involved.
