An exciting opportunity has arisen for an enthusiastic and motivated individual to join our Overseas Team as an Assistant Expedition Manager. The role requires someone who is organised, customer service focused, efficient, has very good attention to detail and who will fit in well with a small team. This is a job that requires endless energy, enthusiasm and the willingness to go above and beyond the norm!

The Assistant Expedition Manager (AEM) will report directly to the Head of Overseas Expeditions and be guided by them as to their task list. Their role is to support our expedition teams by carrying out a range of administrative tasks which range from data input, to venue booking and research, managing expedition budgets, liaison with external contacts both UK based and overseas, editing and proofing written work and destination/itinerary research and planning. As experience is gained the role will progress to take on full responsibility for a portfolio of schools. The role is essentially one of project management.

Person Specification

The ideal candidate should have the following qualifications, experience and personal skills.

  • Be mature and level headed and experienced at working in a professional environment
  • Have experience of managing complex projects and be able to multi task and prioritise when necessary and work under pressure and to tight deadlines
  • Have an interest in travel and have done independent travel including creating or developing itineraries
  • Ideally have experience of liaising or working with schools, students or young people
  • Be resourceful and able to work independently
  • Be committed to all levels of the role from administrative tasks to destination research
  • Be an effective communicator and skilled at public speaking and conversing with a wide range of people on the phone/via email
  • Be prepared to work evenings and weekends and occasionally work outside 9am-5pm to ensure the job is done
  • Be a quick learner who is diligent and conscientious with a good sense of humour
  • Possess a high level of computer literacy and written English
  • Have experience of customer service and be committed to doing an excellent job
  • Have a clean and valid UK driving license
  • Possess an enhanced CRB (DBS)

Key tasks

The role is varied depending on the time of year and the demands of the Expedition Team but will certainly include:

  • Assist with the planning and organising of trips from start to finish including itineraries, budgets, kit & logistics
  • Complete administration for all trips (MS Office, Gmail and in-house database system)
  • Liaise with teachers, students and parents in the UK to ensure they are fully supported throughout the whole expedition experience over email and phone
  • Work closely with overseas contacts and suppliers overseas to develop, plan and manage the expeditions
  • Planning pre-departure training sessions for students and teachers
  • Assisting with risk-assessments and safety management
  • Presenting at information sessions for current or prospective clients (including new pitches, parent’s evenings and student assemblies)
  • Assist the Head of Overseas Expeditions with any other business

Summary of the role

Reports to: Head of Overseas Expeditions

Salary: c.£21,000 - £24,000 (dependent on experience and qualifications)

Days of work: Normal hours of work are an average of 37.5 hours per week, 0900hrs to 1700hrs with some flexibility around core hours. Duties will be in accordance with the work schedules and rest days off taken as appropriate. You may be required to work additional hours when authorised and as necessitated by the needs of the business, for which time off in lieu will be granted.

Length of contract: Permanent (3 month probation period)

Annual Leave: 25 days plus 8 statutory bank holidays

Place of Work: Semi-rural office location near Basingstoke, Hampshire, UK
